Registration and payment

Any registration for one of our trips will be definitively confirmed once this sales contract has been signed and effective once a deposit has been received. For certain trips subject to special cancellation conditions, a second deposit (the amount of which is mentioned in the detailed programme) will be requested. The balance of the trip must reach us at least 30 days before departure (If your balance has not reached us within the required time, your registration could be cancelled and subject to the usual cancellation conditions.

In the event of registration less than 30 days before departure, the total price of the trip must be paid upon registration.

Cancellation and refunds for daytours ( tours lasting between 1 to 10 hours, taking place on the same day)

We provide refunds if you cannot attend your booking due to any of the reasons below and have provided the evidence requested below. Please note cancellation must be send in writing at least 24 hours before the beginning of the tour:

  • Illness / Injury (including Covid)
  • Pre-existing Medical Condition
  • Pregnancy Complication
  • Death of Immediate Family
  • Public Transport Failure
  • Flight disruption
  • Theft of Documents
  • Workplace Redundancy
  • Court Summons
  • Armed Forces & Emergency Services Recall

Cancellation for multi day tours

Any cancellation on your part must be notified to us as soon as possible in writing. The payments made will be refunded according to the conditions below:

  • beyond 30 days before departure: deduction equivalent to 30% of the total price of the trip;
  • between 30 and 21 days: deduction equivalent to 50% of the total price of the trip;
  • between 20 and 8 days: deduction equivalent to 75% of the total price of the trip;
  • between 7 days – day of start of services: deduction equivalent to 100% of the total price of the trip.

No refund is made in the following cases:

  • Trip interruption, unless this interruption occurs because of the organisers.
  • No-show at the meeting times and places mentioned in the travel diary.
  • Absence of travel documents (passports, visas, vaccination certificates, etc.).
  • Certain specific services are not reimbursed: eg. plane tickets already issued, show tickets or entrance fees for certain activities, unless the cancellation is due to the organizer.

Special Circumstances: Force Majeure

This is an event that occurs beyond your control, including natural disasters, civil unrest, global pandemics and any other unforeseeable event that may disrupt your trip. In this case, Kamaroutes has set up a system that allows you to postpone your trip to a later date of your choice, without penalty or increase. Your new trip will however need to take place within 12 months of the original date and you can appoint someone to replace you if you decide not to travel again. Please also note potential increases for services like plane tickets, show tickets and entrance fees will be covered by the traveller.

Assignment of contract

If you cannot leave, you can be replaced by a person of your choice, provided that they meet the same conditions for making the trip. You must notify us no later than 7 days before the start of the trip and confirm this change by email or registered letter with acknowledgment of receipt, indicating precisely the surname, first name and address of the participant. The transfer of the contract also remains subject to air availability allowing the trip to be made in the name of the new participant and, where applicable, the time required to obtain the visa. Please note, if a plane ticket was already issued, the amount charged by the airline to amend the reservation with the details of the new traveller will be covered by the participant.

Traveler safety

For safety reasons or on the recommendations of the Ministry of Foreign Affairs, we may have to modify a program or cancel a departure. In the event of a program modification, we will reimburse any difference between the original services and those of replacement. In the event of cancellation of the departure by the organizer, the full amount paid will be refunded. No additional compensation can be awarded in these circumstances.

All passengers must ensure that they are medically, physically and/or mentally fit to travel. We reserve the right not to accept a participant who does not have the skills or physical abilities to carry out visits requiring walking.
